Games-Time Local Staff Positions

If you are locally based in London during the 6 month period prior to the Olympic Games and legally entitled to work in the UK, have a strong customer service aptitude and would like to be an integral part of the success of our clients and guests’ experiences at the Olympic Games, you may be a match for a local staff position.

Client Services: Program Host/Hostess; Program Hotel Hospitality

Program Host/Hostess: In this role you are responsible for the safe and comfortable transport of program guests to and from their daily activities as the program schedule dictates. While en route, the hosts/hostess provides Olympic knowledge, host city knowledge and information on the logistics and the client as needed. The role will involve being with guests from early morning until the late evening , during this time they are to respond to guests needs and requests and ensure that they have an outstanding hospitality experience.

Program Hospitality Staff: In this role you are responsible for maintaining the hotel hospitality suite including but not limited to making sure that it is a comfortable environment, maintaining a neat and organized hospitality desk and acting in a concierge capacity to the program guests. In addition, a hospitality host’s role could involve opening or closing the suite, ensuring that all guest communication is up to date, maintaining a guest request log, managing gift inventory and maintaining accurate hospitality and program related information at the hospitality desk.

Meet and Greet: Airport/Rail Meet and Greet

Airport and Rail Meet and Greet: In this role you are responsible for meeting and greeting all our clients and their guests upon arrival into London and providing them with their first interaction with Jet Set Sports and CoSport. Your responsibilities will include maintaining the most up-to-date information of arrival times, locations and any changes or delays. Meet the guests in the specified arrivals area, assist with luggage and direct them to the relevant transport. You will also be required to liaise with airport/rail or venue staff, Jet Set Sports/CoSport program managers, vehicle and coach drivers and transportation staff to ensure the smooth operation and movement of our guests upon arrival. Typical candidates include destination management staff, hotel front desk/concierge, event and tour guide staff

Transportation: Transport Logistics Staff

Transport Logistics Staff:In this role you will work closely with the Transport Managers in managing the day to day logistics and management of transport and people movements at various locations. Responsibilities can include communicating with our drivers, airport meet and greet, dispatching, team leading and can be out at the venues, airports or depots. You will also be required to direct vehicles, coaches and people within and around venues, whilst maintaining a high level of service, efficiency and awareness. Typical candidates include destination management staff, transport depot staff, crowd and event control staff

Drivers: Professional Drivers

Professional Drivers: In this role you are responsible for transporting our guests in our vehicles in a safe and timely manner. Your responsibilities include airport and hotel pick up and drop off, assisting with luggage and ensuring you have the correct signage and information for guest collection. You will drive guests to and from various venues, meal functions and London locations in accordance with their planned itineraries, whilst maintaining ongoing communication with our Transport Operations centre and Jet Set Sports/CoSport client managers. You will be responsible for maintaining the vehicle you are driving and the technology tools for directions, traffic reports and key information.

Typical candidates include private hire drivers; chauffeurs; taxi drivers

Ticket Customer Service Representative: In this role you are responsible for working closely with the Ticketing Manager and Ticketing Will-Call Managers to assist in the operational aspects of ticket sales to the General Public and Corporate Clients. Your responsibilities will include accurately fulfilling and distributing ticket orders via shipping and in-person with customers, resolving customer issues and handling day to day enquiries by phone and email.

Office Administration Assistant, including Front Desk Reception: In this role you are responsible for assisting the Operations Manager in the day to day administration of our Operations Centre. You will be working with varied levels of Management, interacting with high value clients and our employees. Your responsibilities include providing Front Desk reception services, including phone call, deliveries and guest services management; Assisting Executive management with administrative functions; Meeting and Greeting clients and guests among many other aspects.

Help Desk Operator/PC Support: In this role you are responsible for providing timely and effective desk top customer service support for internal customers. Responsibilities include, but are not limited to, installing and troubleshooting printers, software installations and setup of laptops, profiles, and accounts. You will also be required to maintain all laptops and related devices and provide software and customer support.

Client Services: Program Managers; Assistant Program Managers

Program Managers: In this role you are completely responsible for the successful and seamless execution of the client hospitality program on-site during Games time. The Program Manager is also responsible for managing, training and scheduling all of their dedicated on-site team members, liaising with the Jet Set operational departments, interfacing with the program hotel staff, being the primary client contact and troubleshooting any on-site challenges that arise.

Some positions may require pre-event planning work. While not a pre-requisite, consideration may also be granted to candidates who have a background in pre-event planning.

Assistant Program Managers: In this role you are responsible for providing assistance and support to the Games-time Program Manager which may include managing functional areas for the program such as transportation, food and beverage, hotel operations, and managing staff. The Assistant Program Manager’s role will also be ensuring a successful and seamless execution of the client hospitality program on-site during Games time.

Position Requirements:

  • Experienced in full service event management
  • Experience running medium to large scale multi wave/day events, with 50 to 200+ guests per wave
  • Experience managing event components including accommodation, transportation, food and beverage, collaterals, gifting, staffing etc.

Transportation: Transport Managers

Transport Managers: In this role you are completely responsible for the successful and seamless management of day-to-day operations for transportation. Each transportation manager will be responsible for a designated area of operation that can include: Airports , Rail Stations, Olympic Venues, Hospitality and Hotel Locations, Vehicle and Coach Management including dispatch. Tasks could include managing ingress and egress of coach and/or vehicles for designated locations; management of movement, safety and security for large ceremonies and events including developing logistics plans; management of receipt delivery and maintenance of vehicles with included technology; providing leadership to the local staff and/or drivers (coach/vehicle) within each operational area, liaising with Client Program Managers or clients to ensure successful delivery of transportation operations.

Typical candidates include dispatchers, transportation leads and DMC employees.

Position Requirements:

  • Experience in working within a fleet vehicle based environment, managing drivers and multiple locations with ability to multitask at the same time.
  • Experience running dispatch for a DMC company and/or a large program with multiple transportation movements.

Ticketing Manager: In this role you are responsible for working closely with the Ticketing Director and full time Ticketing Managers to assist in the day to day management of ticket sales to the General Public and Corporate Clients. This will include the management of ticketing customer service representatives, ticket inventory management and collection.

Ticketing Will-Call Manager: In this role you are responsible for working closely with the Ticketing Director and full time Ticketing Managers to assist in the day to day management of Will-Call Centre. This will include both call centre management and ticket collection by General Public and Corporate Clients. This position also requires the management of ticketing customer service representatives and assist with the management of call centre and Will-Call queues, complaints and customers.

  • Familiar with working on laptops, with WiFi and network connectivity, the internet and mobile phone technology
  • High proficiency working in Windows and MS Office and Outlook Applications to produce documents, reports and emails
  • Strong knowledge of the hospitality industry
  • Knowledge of London is a strong asset
  • Knowledge of the Olympic and Paralympic Games, and Olympic Movement.
  • Bilingual/multilingual candidates are highly encouraged to apply
